Invite a member

Add team members to your workspace.

Add a team member to your workspace so they can help manage portals and assets. Workspace membership is separate from portal access — a member can be an editor on some portals and a viewer on others.

Send an invitation

From the dashboard, open Settings → Members, then click Invite member. Enter the person's email address and choose their workspace-level role:

  • Editor — can create and manage portals, upload assets, configure brand modules, and manage members below their own role level.
  • Viewer — read-only access to all published portals in the workspace; cannot create portals or upload assets.

Click Send invitation. The invitee receives an email from boveDAM with a link to accept. The invitation link is valid for 48 hours. If the link expires before the person accepts, you can resend the invitation from Settings → Members → Pending invitations.

Tip: Ask new invitees to check their spam folder if the invitation email doesn't appear within a few minutes. Depending on their mail provider, automated invitations can occasionally be filtered.

What happens when someone accepts

If the invitee already has a boveDAM account, they click the link, are shown a confirmation screen, and are added to your workspace immediately. They do not need to create a new account. On their next sign-in, the workspace will appear in their workspace switcher.

If the invitee does not yet have a boveDAM account, the invitation link takes them through a short sign-up flow to create one. Once they complete registration, they are added to your workspace automatically.

In both cases, the member appears in Settings → Members as active once they have accepted.

Workspace roles vs. portal roles

Workspace roles and portal roles are independent. Inviting someone as a workspace Editor gives them general access to the workspace dashboard, but their level of access within each individual portal is controlled separately.

For example:

  • A workspace Editor might be an Editor on three client portals and have no access to a fourth.
  • A workspace Viewer can see published portals from the workspace dashboard but cannot see portals they haven't been explicitly added to.

To add a member to a specific portal and set their portal-level role, open that portal and go to Settings → Members → Add member. See Owner, editor, viewer for the full capability matrix across both workspace and portal roles.

Removing a member

To remove a member from your workspace, go to Settings → Members, find the person in the list, and select Remove from workspace. This revokes their access to all portals within the workspace. It does not delete any content they uploaded or edited.
