Members and roles
Workspace owner privileges
What the workspace owner can do that other roles cannot.
Every boveDAM workspace has exactly one workspace owner — the account that created the workspace, or the person to whom ownership was transferred. The workspace owner role is distinct from portal-level roles and carries a set of exclusive privileges that no other role can access.
Exclusive workspace owner capabilities
The workspace owner is the only person who can perform the following actions:
Billing and subscription
- View, upgrade, or downgrade the workspace plan
- Access all invoice history and download PDFs
- Set or update the workspace tax ID (RFC or VAT number)
- Update the billing contact email
- Cancel the workspace subscription
Workspace administration
- Permanently delete the workspace and all its data
- Request a full workspace data export
- Transfer workspace ownership to another member (via a support request — see below)
Portal access
- The workspace owner has implicit read access to every portal in the workspace, regardless of whether they appear on that portal's member list. If a portal Owner removes the workspace owner from the member list by mistake, the workspace owner can still access and recover the portal.
This last point is important: portal-level Owners control day-to-day membership, but they cannot lock the workspace owner out.
One owner per workspace
A workspace can only have one owner at a time. There is no co-owner or joint ownership model. If you need another person to manage billing, the recommended approach is to share the relevant invoice PDFs with them directly, or contact support to explore options for your use case.
Transferring workspace ownership
Ownership transfers are handled through support to prevent accidental or unauthorized transfers. To request a transfer:
- Email support@bovedam.com from the current owner's email address.
- Specify the email address of the person you want to transfer ownership to. That person must already have an active boveDAM account.
- The support team will verify the request and complete the transfer, typically within one business day.
After the transfer:
- The previous owner retains their account but loses workspace owner privileges.
- The new owner gains all exclusive capabilities listed above.
- Billing and subscription settings remain unchanged.
- All portals, assets, and members remain intact.
Workspace owner vs. portal Owner role
These two concepts are often confused. Here is the key difference:
| Workspace owner | Portal Owner role | |
|---|---|---|
| Scope | The entire workspace | A single portal |
| Who can hold it | Exactly one person | Multiple people per portal |
| Billing access | Yes | No |
| Can delete workspace | Yes | No |
| Implicit portal access | All portals | Only the portal where they hold the role |
| How to change | Support request | Any portal Owner can assign the role to another member |
In practice, the workspace owner often also holds the Owner role on every portal — but this is not required. A workspace owner who is focused on billing can stay off individual portal member lists while still retaining the ability to access them if needed.
