Removing members

How to remove a member from a portal.

When a project ends, a client relationship changes, or access needs to be tightened, you can remove a member from any portal you own. Removal is immediate and does not require confirmation from the person being removed.

Removing a member from a portal

Only portal Owners can remove members. To remove someone:

  1. Open the portal you want to manage.
  2. Go to Portal settings → Members.
  3. Find the member in the list.
  4. Click the menu next to their name and select Remove member.

Access is revoked instantly. The next time that person tries to visit the portal URL, they will see an "Access denied" screen. Any active browser session they have open will be invalidated within seconds — they will not be able to download, copy, or interact with any assets after removal.

Assets are not deleted. Everything the member uploaded or contributed stays in the portal. Only their access is removed, not their work.

Handling pending invitations when you remove someone

If you remove a member who also has a pending invitation to another portal (or to the same portal they just joined), the pending invitation is not automatically cancelled. You must cancel it separately:

  1. Go to Portal settings → Members → Pending.
  2. Find the invitation for that email address.
  3. Click ⋯ → Cancel invitation.

This prevents the removed person from accepting the pending invitation and re-entering the portal through a different route.

Removing a member from a workspace vs. removing from a portal

These are two distinct actions with different scopes:

ActionWhat it affects
Remove from portalRevokes access to that single portal only. The person retains their boveDAM account and any access they have to other portals in your workspace.
Workspace-level removalNot a self-serve action. If you need to remove someone from your workspace entirely — including all portals — you must remove them from each portal individually.

For example, if a contractor is a Viewer on three of your portals and you want to cut off all access, you need to remove them from each portal separately. There is no single "remove from workspace" button in the current interface. If this is something you do frequently, contact support to discuss bulk removal options.

The workspace owner is the only role that cannot be removed through the Members panel — ownership must be transferred before the account can be removed.

What stays and what goes after removal

ItemAfter removal
Assets the member uploadedRemain in the portal
Comments or notes they leftRemain in the portal
Their boveDAM accountUnchanged — they can still log in
Their access to this portalImmediately revoked
Their access to other portalsUnchanged — only this portal is affected

If you need to delete assets that were uploaded by a removed member, you can do so manually from the portal's asset library. Deleting assets moves them to the trash, where they are retained for 30 days before permanent deletion. See Deletion and retention for details.
