Deletion and retention

How deletion and data retention work in boveDAM.

boveDAM uses a two-stage deletion model: files and portals first move to a trash state where they can be recovered, and are only permanently removed after a retention window has passed. Account deletion follows a separate process with a 7-business-day processing period.

Soft delete and the trash

When you delete an asset or a portal, it is not immediately and permanently removed. Instead, it moves to the trash, where it is retained for 30 days.

During those 30 days:

  • The item is not visible to portal members or visitors
  • You can restore it at any time from the trash view in Portal settings
  • It still counts against your storage quota until it is permanently deleted

After 30 days, the item is permanently deleted by an automated cleanup job. This deletion is irreversible — there is no recovery path once the 30-day window closes. If you need to recover something close to the deadline, contact support@bovedam.com as soon as possible; the team may be able to help depending on the exact timing.

To permanently delete something immediately — without waiting 30 days — open the trash, select the item, and click Delete permanently. This action cannot be undone.

Account and workspace deletion

Deleting your workspace is a more involved process than deleting an individual asset. The workspace owner must initiate the request:

  1. Go to Account settings → Workspace.
  2. Click Delete workspace.
  3. Confirm by typing the workspace name.
  4. A deletion request is submitted.

boveDAM processes workspace deletion requests within 7 business days. During that window:

  • A confirmation email is sent to the workspace owner's address
  • The workspace remains accessible until the deletion is executed
  • You can cancel the deletion request by contacting support@bovedam.com before processing completes

Once processing is complete, a final confirmation email is sent and all workspace data is removed from boveDAM's systems. This includes all portals, all assets (including files in trash), all member records, and all billing history.

This deletion is permanent and cannot be reversed. If you only want to cancel your subscription without losing your data, see Plans and upgrades — you can downgrade to the Free plan and retain access to up to 1 GB of assets and 2 portals at no cost.

Individual member accounts are not deleted when a workspace is deleted. Each person retains their boveDAM login and any access they have to portals in other workspaces.

GDPR and data subject requests

If you or one of your portal members needs to exercise a data subject right under GDPR — including the right to erasure (right to be forgotten), the right to access, or data portability — submit a request to privacy@bovedam.com with:

  • Your name and account email address
  • The specific right you are exercising
  • Any relevant details (portal names, date ranges, etc.)

boveDAM will respond within 30 days in accordance with GDPR requirements. For data portability requests, see Data export — you may be able to fulfill your own request faster using the self-serve export tool.
