Login-gated portals

How login-gated access works for clients.

What login-gated means

A login-gated portal requires two things from anyone who wants to view it: a boveDAM account, and explicit membership in that portal.

This is the most controlled form of access. You decide exactly who can enter, and only those people — identified by their boveDAM credentials — can see the contents. Anyone else, even if they have the URL, hits an access screen and goes no further.

Login-gated access is the right choice for ongoing client relationships, NDA-covered work, or any assets that should not be accessible beyond a known group of people.

The client experience

When a client follows a link to a login-gated portal, here is what they encounter.

If they are not logged in to boveDAM, they see a login screen. Entering valid credentials proceeds to the next check.

If they are logged in but not a member of that portal, they see a 403 screen — a clear indication they do not have access, with a prompt to contact the portal owner.

If they are logged in and are a member, they land directly on the portal with full access to everything they have been granted visibility over.

There are no workarounds. Knowing the URL is not enough. Sharing the URL with someone outside the member list does not give them access.

Adding someone as a portal member

To add a client to a login-gated portal, open Portal settings → Members and enter their email address. They must have a boveDAM account registered to that address.

If the client does not yet have a boveDAM account, they will need to create one before they can be added. Account creation is free. Once they register, return to the Members settings and add their email.

Removing a member takes effect immediately. They lose access to the portal at the moment you remove them, even if they are currently viewing it.

Switching to password-gated access

If you need to share a portal with someone who does not have a boveDAM account — a one-off delivery, a pitch to a new prospect, or a case where requiring account creation is too much friction — you can switch the portal to password-gated access.

Go to Portal settings → Visibility and change the access mode to Password. Set a password and share it out-of-band with the recipient. For details on how password-gated portals work, see Password-gated portals.

Note: switching access modes does not affect the asset contents of the portal. Only the gating mechanism changes.
