Publishing and unpublishing

How to publish and unpublish a portal.

Every portal in boveDAM exists in one of two states: Draft or Published. The state controls whether the portal is accessible to anyone outside your workspace. Understanding the distinction prevents the common mistake of sending a client a link before the portal is ready — or forgetting to take a portal offline when a campaign ends.

Draft vs published

Draft is the default state for every new portal. While a portal is in draft:

  • It is only visible to workspace members with Editor or Owner access
  • The portal URL exists but returns a "not available" screen if visited by anyone without access
  • You can make any changes to content, structure, branding, and settings freely

Think of draft as your working environment. You can upload assets, build out the folder structure, write brand module content, and preview the portal exactly as a client will see it — all without exposing anything to the outside world.

Published means the portal is live. A published portal is accessible according to its visibility setting:

  • Private — accessible to signed-in users who have been explicitly granted Viewer access or higher
  • Password-gated — accessible to anyone who has the portal URL and the password
  • Public — accessible to anyone with the URL, no login or password required

How to publish

Publishing a portal takes a single click:

  1. Open the portal from your workspace dashboard at app.bovedam.com
  2. In the editor toolbar, the portal's current state is shown as a badge in the top-right corner
  3. Click Publish
  4. Confirm in the dialog that appears

The portal immediately becomes accessible according to its visibility setting. If you are sending the link to a client, publish first, then share the URL.

If you want to review the portal at its public-facing URL before sharing it, publish it with visibility set to Private, confirm it looks correct, then switch visibility to Password-gated or Public as needed.

Unpublishing

Unpublishing takes a portal offline without deleting it or its contents. To unpublish:

  1. Open the portal from your workspace dashboard
  2. Click the Published badge in the editor toolbar
  3. Select Unpublish from the dropdown
  4. Confirm

Once unpublished, the portal URL returns a "not available" screen to any visitor. All assets, folder structure, brand modules, and settings are preserved exactly as they were. You can re-publish at any time with a single click.

Common reasons to unpublish:

  • A campaign has ended and the assets are no longer meant for distribution
  • You need to make significant structural changes and prefer clients not see a portal mid-edit
  • The client relationship has concluded and you want to revoke access without deleting the portal entirely

Re-publishing

Re-publishing a portal after it has been unpublished works identically to the initial publish. Open the portal, click Publish, and confirm. The same URL becomes live again instantly — no need to re-send the link to clients who already have it.

The publish button location

The Publish / Unpublish control lives in the editor toolbar, visible whenever you are viewing a portal in edit mode. The toolbar also shows a persistent status badge — Draft or Published — so you always know the current state without having to open settings.

If the toolbar is not visible, you are viewing the portal as a Viewer (not an Editor or Owner). Switch to an account with the appropriate access level to see the publish controls.
