Share with a client
How to share a portal link with a client.
Share a published portal with a client by sending them the portal URL. Depending on the portal's visibility setting, clients may need to log in, enter a password, or can access it openly. boveDAM gives you three modes to match different client relationships.
Copying the portal link
From the portal overview in your dashboard, click Copy link to copy the shareable URL to your clipboard. You can also open the Share panel — accessible via the share icon next to the portal name — to review and configure the visibility settings before sending the link.
The portal must be published before the link is live. If the portal is still in draft status, clients who open the link will see an access-denied page. Publish the portal from the portal overview by clicking Publish.
Three sharing modes
Login-gated (recommended for ongoing clients)
Clients must have a boveDAM account and be added as a member of the portal to access it. The link takes them to a sign-in screen. After authentication, they land directly in the portal.
Use this for: established clients who will return to the portal regularly. Login-gated portals give you control over exactly who has access, and you can revoke access at any time by removing the member.
Password-gated
Anyone with the link and a password can access the portal, without needing a boveDAM account. You set the password in the Share panel, and share it with your client alongside the link.
Use this for: one-off deliverables, external reviewers, or clients who haven't yet accepted a boveDAM invitation. The tradeoff is that you cannot control access as granularly — anyone who has the password can open the portal.
Public (open access)
Anyone with the link can open the portal immediately, with no authentication or password required.
Use this for: public-facing brand portals, press kits, or any situation where open access is intentional and appropriate. Not recommended for portals containing confidential or unreleased assets.
What the client sees when they click the link
The first screen a client sees depends on the visibility mode:
- Login-gated: A sign-in form. After signing in, they arrive at the portal directly.
- Password-gated: A password entry screen. After entering the correct password, they arrive at the portal.
- Public: The portal itself, immediately.
In all three cases, the portal experience is the same once access is granted. Clients see the brand modules in the order you configured, starting with Brand Guidelines (if enabled) at the top. They can browse assets, download files in permitted formats, and use the language switcher if you have bilingual content.
Tracking who has accessed a portal
Detailed visitor access logs are not currently available in boveDAM. You cannot see a per-client record of when someone opened the portal or which assets they downloaded. This feature is on the roadmap.
For now, the most reliable way to manage access visibility is to use login-gated portals and keep your portal member list current. You will at least know who has been invited and whether they have accepted.
