Inviting members
How to invite members to a portal.
Portals are collaborative by design. You can invite teammates, clients, or contractors to any portal where you hold the Owner role, assigning each person a role that controls exactly what they can see and do.
Sending an invitation
Only users with the Owner role on a portal can invite new members. To send an invitation:
- Open the portal you want to share.
- Go to Portal settings → Members.
- Click Invite member.
- Enter the invitee's email address.
- Choose a role — Editor or Viewer (see Roles overview for a full comparison).
- Click Send invitation.
The invitee will receive an email from no-reply@bovedam.com with a link to join the portal. That link is valid for 48 hours. If the window passes without action, the invitation shows an "Expired" badge in the Members list and you will need to resend it.
You can only invite one person at a time. To add several people at once, repeat the process for each address. All pending invitations are visible under the Pending tab in Portal settings → Members.
What happens when the invitee has no boveDAM account
If the email address you invite is not linked to an existing boveDAM account, the invitation email will include a prompt to create a free account at app.bovedam.com. The invitee must complete registration before portal access is granted — there is no guest mode.
Once they create their account using the same email address the invitation was sent to, they are added to the portal automatically. No further action is required from you.
If the invitee accidentally registers with a different email address, the invitation will not link up. Ask them to either use the email address the invitation was sent to, or let you know their preferred address so you can send a new invitation to that address instead.
Resending or cancelling an expired invitation
If 48 hours have passed and the invitee has not accepted, the link in the original email is no longer valid.
To resend:
- Go to Portal settings → Members and open the Pending tab.
- Find the invitation marked "Expired."
- Click the ⋯ menu next to the entry and select Resend invitation.
A fresh email is sent immediately with a new 48-hour window. The previous expired link is permanently invalidated.
To cancel:
From the same ⋯ menu, select Cancel invitation. The entry is removed from the Pending list and the invitee's link will return a "not found" error if clicked.
Plan limits and member counts
The total number of members across your workspace is governed by your plan:

If you have reached your plan's member limit, the Invite member button is disabled. You will need to upgrade your plan or remove an existing member before sending a new invitation.
