How to export your workspace data from boveDAM.

boveDAM gives you the ability to export a structured record of your workspace data. This export is designed for data portability, compliance, and record-keeping — it contains metadata and records rather than the binary files themselves.

What is included in the export

A data export package contains four categories of data, all formatted as JSON:

The export does not include the actual files. File binaries (images, PDFs, videos, etc.) are not packaged into the export archive. This is a deliberate choice to keep the export fast and manageable — a workspace with 50 GB of assets would produce an export archive measured in megabytes, not gigabytes.

Requesting a data export

Only the workspace owner can request a data export.

  1. Click your avatar in the top-right corner of the dashboard.
  2. Select Account settings.
  3. Open the Privacy tab.
  4. Click Export data.
  5. Confirm the request.

boveDAM processes the export within 24 hours. When the export is ready, a download link is sent to the workspace owner's email address. The link is valid for 7 days — download the archive before it expires, as you will need to submit a new request after that.

You can only have one pending export request at a time. If you submit a new request while one is already processing, the new request will be queued and will begin processing after the current one completes.

How to download your files

Because file binaries are not included in the data export, you need to download them directly from each portal before or after exporting:

  1. Open a portal.
  2. Select the assets you want to download.
  3. Use the Download button (ZIP download is available on Studio and Agency plans).
  4. Repeat for each portal.

For large workspaces, we recommend downloading files portal by portal before requesting your data export, so you have both the metadata (from the export) and the files (from manual download) together.

Retention of export archives

The download link in your export email is valid for 7 days. After that, the link expires and the archive is removed from boveDAM's servers. boveDAM does not retain previous export archives — each export request generates a new package from current data.

If you request an export, download the archive, and then make further changes to your workspace, you will need to request a new export to capture those changes.
